Group Transport

How booking a minibus or Sprinter van with a driver works

Four steps, one quote, and nothing charged until you say yes. Here is what happens between your first message and the moment your group climbs aboard.

Step 1: tell us about the trip, not just the headcount

The more we know, the better the vehicle fits. Give us the date, the pickup and drop-off addresses, the start time and roughly when you expect to finish. Then the details that change everything: how many suitcases, whether anyone uses a wheelchair, whether there are car seats or strollers, and whether the driver should wait or come back later.

For airport pickups, send the flight numbers. For cruise transfers, the ship and the sailing date. For a night out, the order of stops.

Step 2: one quote for the whole vehicle

Once your trip is matched with a licensed, insured partner operator, you receive a single quote covering vehicle and driver together, rather than a per-seat fare. What sets the figure is the date, the hours, the distance, the vehicle, any waiting time, tolls and parking. That operator's cancellation terms for the vehicle appear on the quote, so you see them before you commit.

Step 3: accept, then fine-tune

Nothing is charged until you accept. After that, send the final headcount and a lead passenger's name and mobile number so the driver has someone to call. If flights change, tell us; with the flight number on file, the pickup can follow the actual landing time rather than the one printed on the ticket.

Step 4: the day your group travels

The driver meets you at the agreed point, and that point is often set by someone else's rules. At Newark the driver cannot wait at the terminal curb; at Harry Reid in Las Vegas, pre-arranged limo drivers meet you inside baggage claim. Keep the group together, have bags counted before the vehicle arrives, and loading takes minutes rather than a quarter of an hour.

Questions

How far ahead should we book?

As soon as you know the date. Prom weekends, June Saturdays, big game days and convention weeks use up Sprinters and minibuses first. For a quiet weekday there is more choice closer in, but it still narrows.

What if our flight is delayed?

With the flight number on your booking, the pickup follows the real arrival. Long delays can add waiting time, which is one of the things that affects the price, so ask how the operator handles it.

Can we change the plan after accepting?

Usually. Tell us early. Extra hours or stops can change the price, and changes close to the date depend on the operator's terms written on your quote.
